Define the information the task needs
Start with the business purpose and the minimum fields required for it. A document may contain more information than the workflow needs. Listing the required fields helps the team discuss the proposed processing, the review screen and what should happen to the original document.
Use representative examples
Document quality, layouts and languages can vary. A design review should consider clear and unclear scans, French and Arabic examples where relevant, missing fields and documents the workflow should decline. Success on a single clean example does not establish how the system will behave across the actual workload.
Make uncertainty visible
A plausible-looking value can be harder to catch than a clearly missing field. Define how uncertain or unsupported information is presented. The person reviewing the result should be able to compare it with the source, correct it and understand whether the next step is still waiting for confirmation.
Separate extraction from acceptance
Preparing information and accepting it for a business process are different actions. Agree who can review, correct and confirm a record. Consider what happens when the source document is replaced or someone returns to the task later. A correction should remain understandable to the people responsible for the record.
Discuss the full data path
Ask where processing runs, which external services are involved, who can access the information and what is retained. Moroccan hosting can be part of a proposed architecture, but the actual setup needs to be specified. Those choices should be discussed before real documents are used in an evaluation.
Evaluate the complete workflow
Measure the task the team needs to finish, including review and correction. Extraction quality matters, but so do confusing screens and difficult handovers.
